Position Overview

40 hours a week-Monday Through Friday from 8 am until 4 pm. 13 Board meetings per year, additional meetings could be required if there is a special meeting. Two Saturdays per year are required from 8 am until 12 pm.

The Community Management Assistant supports the Community Manager and the Architectural Control Committee in maintaining the community's standards and operations. This role involves a variety of tasks, from processing registrations and updating the community website to handling customer service and assisting with daily operations.

Essential Duties and Responsibilities:

  • Assist in processing registrations for pools, boats, and tennis facilities.
  • Conduct exterior home inspections to ensure compliance and process violations as needed.
  • Update and maintain the community website.
  • Create and distribute the weekly e-newsletter.
  • Conduct resale inspections and document findings.
  • Collaborate with the Architectural Control Committee to process requests for exterior changes.
  • Assist members with assessment accounts as needed.
  • Assist with community center rentals.
  • Support the Community Manager with daily operations.
  • Attend monthly Board Meetings.
  • Monitor assessment accounts and assist with follow-up.
  • Produce the quarterly newsletter.
  • Coordinate with contractors as needed.
  • Schedule special trash pick-ups.

Knowledge and Skills:

  • Proficient in Microsoft Word and Excel.
  • Strong customer service skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.

Qualifications:

  • CMCA (Certified Manager of Community Associations) preferred or actively working towards obtaining the designation.
  • Previous experience in property management or a related field is a plus.

Physical Demands and Work Environment:

  • Ability to walk and inspect property exteriors.
  • Ability to lift, push, pull, or carry up to 25 pounds as needed.
  • Ability to attend evening meetings as required.
  • Professional office environment with standard office equipment.
