Position Overview: As an Executive Assistant, you will provide critical support to our Founders in a dynamic and fast-paced M&A/property management. This role demands a proactive approach, excellent organizational skills, and the ability to manage complex schedules and communications effectively. Your role will be pivotal in facilitating the operational and administrative activities that enable our Founders to maximize their productivity and impact.

Key Responsibilities:

  • Calendar and Meeting Coordination: Take ownership of the Founders’ calendars. Schedule and manage complex meetings, coordinate timings, and ensure all logistical details are handled efficiently.
  • Travel Coordination: Manage end-to-end travel arrangements including booking flights, hotels, and ground transportation. Ensure all travel details are communicated clearly and itinerary changes are handled promptly.
  • Stakeholder Engagement: Build and maintain effective working relationships with key stakeholders:
    • Founders: Understand priorities, exercise sound judgment, and make appropriate decisions on time management and meeting scheduling.
    • Member Company Leaders and Their Assistants: Facilitate scheduling, manage communications with professionalism, and pay meticulous attention to detail.
    • Internal Teams: Liaise with internal resources, share information, and assist the team in navigating company resources effectively.
  • Trusted Advisor: Act as a thought partner to the Founders, guiding them on the optimal use of their time and keeping them informed of critical issues.
  • Miscellaneous Duties: Perform other duties as assigned, which may include some personal support tasks, depending on the needs of the Founders.

Qualifications:

  • Experience in a law firm or consulting firm environment is a plus.
  • Proven experience as an Executive Assistant or similar role.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Proficient in MS Office and other office productivity tools.
  • Ability to work under pressure and meet tight deadlines.
